Who is Responsible for Your Data?

This Privacy Policy applies to the personal data that IGNYT Fitness Ltd collects and uses.

References to “IGNYT Fitness”, “we”, “us” or “our” mean IGNYT Fitness Ltd (registered in England and Wales, company number 15337326, registered office Unit 14, Spring Rise, Falconer Road, Haverhill, Suffolk, England, CB9 7XU).

We control how your personal data is collected and used and are therefore the “data controller” for the purposes of the UK GDPR, Data Protection Act 2018, and other applicable law.

  • Use the IGNYT member app to log workouts or track training.

  • Name, address, email, phone number, date of birth, and gender.
  • Emergency contact details.
  • Payment details (processed securely by third-party providers).
  • Membership, class, and attendance records.
  • Health or fitness information where relevant to training (provided voluntarily).
  • Training and performance data logged in our member app, including exercises performed, sets, repetitions, weights lifted, completed workouts, and personal training notes you choose to record.

Website, app and technical information:

  • IP address, device details, and browsing behaviour via cookies.
  • App usage data, including in-app preferences (such as Easy Reading Mode), workout history, and session activity recorded through the IGNYT member app.
  • Aggregated, anonymised information used for service improvement.

How We Use Your Information

We use your information to:

  • Deliver training and membership services.
  • Process payments and manage your account.
  • Track attendance and usage of our services.
  • Store and display your training history so you can track progress over time.
  • Show previous performance data (such as last weight lifted) to help guide your current session.
  • Save personal coaching notes you record against exercises for your own reference and to share context with your coach.
  • Remember your app preferences, including accessibility settings such as Easy Reading Mode.
  • Send updates about classes, schedules, and service changes.
  • Share offers, events, and marketing (if you consent).
  • Improve our website, services, and member experience.
  • Comply with legal and regulatory obligations.

We do not sell or lease your personal information.

Third-Party Access

Your information may be shared with trusted service providers including GymOS/Quoox (booking and member management), our member app provider (training and workout tracking), Stripe (payment processing), GoHighLevel (CRM and member communications), Zapier (workflow automation), and analytics and marketing platforms (Google Analytics, Meta), only where necessary to deliver our services.

We require these providers to protect your data under strict security standards. We may also share information if required by law or to protect our business, members, or staff.

Training and Health Data

Where you log training data, personal notes, or fitness-related information through our app, this is treated with additional care:

  • Notes and observations you record (such as how an exercise felt or any physical considerations) are visible only to you and your assigned IGNYT coach.
  • Training performance data is used to support your coaching, track your progress, and inform your programming.
  • You can request deletion of your training history at any time by contacting us.
  • We do not share individual training data with third parties for marketing or commercial purposes.

If you record information that constitutes special category health data under UK GDPR (for example, injuries, medical conditions, or symptoms), the lawful basis for our processing is your explicit consent through your use of the app’s notes feature. You can withdraw this consent at any time by deleting the relevant notes or contacting us to do so on your behalf.

Marketing & SMS

We may contact you by email, SMS, or phone with updates, offers, or events. You can opt out at any time by clicking ‘unsubscribe’ in emails, replying STOP to SMS, or contacting us directly.

Cookies

Our website uses cookies to collect technical information about your browsing behaviour. Cookies help us improve site functionality, analyse usage, and deliver relevant marketing.

International Data Transfers

Some of our providers (e.g. Google, Meta, GymOS, our member app provider) may transfer data outside the UK/EEA. Where this happens, we ensure safeguards (such as adequacy decisions or standard contractual clauses) are in place.

We use appropriate technical and organisational measures to protect your personal data. However, no system is completely secure, and we cannot guarantee absolute security.

Data Retention

We keep your personal data only as long as necessary for business, legal, or regulatory purposes:

  • Membership and contact records: retained for the duration of your membership and for 6 years after cancellation to meet financial and tax obligations.
  • Payment records: retained for 6 years in line with HMRC requirements.
  • Training and workout data: retained for the duration of your membership. On cancellation, you may request that we delete this data, otherwise it will be retained for 12 months in case you return.
  • Marketing data: retained until you opt out or request deletion.
  • Website analytics: retained for 26 months.

Some residual information may remain in backups until securely overwritten.

Your Rights

You have the following rights (subject to legal limits):

  • Access the personal data we hold about you.
  • Rectify inaccurate or incomplete data.
  • Request erasure of your data (“right to be forgotten”).
  • Restrict or object to processing.
  • Data portability – transfer your data to another provider.
  • Withdraw consent for marketing at any time.
  • Request a copy of your training history and workout data in a portable format.
